9 Things to Check Before Renting a Printer in Bali

Nine checks you can verify yourself before choosing a provider, including us.

Contents
Short answer

A good printer rental company in Bali puts its technician response time in writing, keeps technicians, toner, and spare machines on the island, includes parts and servicing in the monthly fee, and issues a proper tax invoice (faktur pajak) to your company. You can check all nine points below yourself, for any provider, including us.

Why does the provider matter more than the machine?

Any big-brand office printer works well on day one. What you'll actually live with for the whole contract is the company behind it: how fast someone shows up when it jams before a board meeting, whether toner arrives before you run out, and what happens when a repair takes longer than an afternoon.

That's why this checklist scores the provider, not the spec sheet. If you still need to pick the machine itself (A4 or A3, colour or mono, how many pages a month), start with how to choose an office printer. If you're not sure whether to rent at all, read rent or buy an office printer.

[CERITA TIMOTHY: a short, anonymous story from an expat-run office or villa company that switched provider. What went wrong with the old setup: language, invoices, Macs, slow repairs?]

What should I look for in a printer rental company in Bali?

Use this as a scorecard. Give each provider 0, 1, or 2 on every line, multiply by the weight, and divide by 2. The maximum is 100. The weights are our view of what costs Bali offices the most downtime; change them if your situation is different.

# What to check Weight Scores 2 if Scores 0 if
1 Technician response time 15 It's in the contract, with a start time and a remedy if they're late "We're usually quick"
2 Local technicians and stock 15 Office, technicians, toner, parts, and spare machines on your island Technicians fly in from Java
3 What the monthly fee covers 15 Toner, parts, labour, and routine maintenance included, exclusions listed Parts or call-out fees billed separately
4 Replacement machine 10 Written rule for when you get a loaner None, or "if we have one"
5 Page allowance and overage 10 Monthly allowance, price per extra page, and meter reading method in writing Vague "per click" pricing
6 Machine condition 10 New or refurbished stated in writing, serial number and starting meter recorded Not mentioned
7 Company and tax paperwork 10 Registered PT, active NPWP, faktur pajak in your company's name Receipts only
8 Contract terms and exit 10 Fixed price, clear renewal and early-exit terms Price can change at will, exit cost unclear
9 Brand authorisation and genuine toner 5 Current dealer appointment letter Can't show one
Total 100

What does a real response-time guarantee look like?

A response time only means something if it's written into the contract and you know how it's measured. Ask when the clock starts, whether "response" means a reply or a technician at your door, which hours and areas it covers, and what you get if they miss it.

For a sense of what institutional buyers ask for: a 2026 school-district copier tender in North Carolina required 80% of service calls to be handled within four hours by factory-trained technicians (Franklin County Schools RFP summary). That's not an Indonesian standard, but it shows serious buyers expect a number, not a promise.

How ASG does it: ASG contract clients in Bali, Lombok, and Labuan Bajo (rental, Annual Service Contract, ASG Total Maintenance, and Charge Per Click) get a technician on site within 3 hours of reporting a fault, during business hours. We start with remote help on WhatsApp or a video call, and that time counts toward the 3 hours. Full terms: 3-hour guarantee.

Why do local technicians matter so much on an island?

On an island, a part that isn't in a local warehouse means waiting for a shipment. A provider with its own office, technicians, and stock on the same island can usually fix things the same day; one that relies on Java can take days.

How to check:

  • Look the provider up on Google Maps. A real workshop with photos and reviews is a good sign; a virtual office address isn't.
  • Ask how many technicians cover your island and where toner and parts are stored.
  • Ask whether spare machines are kept locally.
  • If you're outside the main towns (Uluwatu cliffs, Amed, the Gilis, East Lombok), ask about travel fees and visit schedules.

How ASG does it: ASG has offices and depots in Denpasar (Jl. Buluh Indah No.126), Mataram (Jl. Airlangga No.5E), and Labuan Bajo (Wae Tuak), each stocking toner, spare parts, and backup machines. Our technicians work from all three towns: 22 in Bali, 4 in Lombok, and 1 in Labuan Bajo. Coverage details: Bali, Lombok, Labuan Bajo.

What should be included in a monthly printer rental?

A fair monthly fee covers the machine, toner, spare parts, labour, and routine maintenance. Ask for the exclusions list in writing, because that's where surprise bills come from.

Go through it line by line:

  • Toner: unlimited within your page allowance, or just the first cartridge?
  • Parts: are drums, fusers, rollers, and developer units covered? They're the expensive bits.
  • Call-out fees: any charge per technician visit?
  • Maintenance: how often, and what gets checked?
  • Paper and power: almost nobody supplies paper. If your building's power fluctuates (common in Bali villas), ask whether they provide a voltage stabiliser.

How ASG does it: ASG rentals include the machine, toner, parts, and servicing for the machine's working life. The only exclusion is damage from misuse, like prying the machine open or paper clips and staples getting inside. Every contract includes monthly maintenance, and each visit is documented with before-and-after status pages that you sign. We don't supply paper. We do supply a 1,100 VA or 2,200 VA stabiliser if your site needs one.

Will I get a replacement printer while mine is being repaired?

You should, and the rule should be written down: after how many hours of repair you get a loaner, and whether it's the same spec or better. For a hotel front desk at check-out time, or a clinic printing referral letters, this matters more than a Rp 50,000 difference in monthly price.

How ASG does it: if a rented machine isn't fixed within 2 hours, ASG swaps in a backup unit the same day. [CEK ASG: always same spec or higher?]

How do page allowances and "per click" pricing work?

Your monthly fee includes a set number of pages (the allowance, or quota). Pages above it are charged per page. Get three numbers in writing: the monthly allowance, the price per extra page, and how the meter is read.

Things people forget to ask:

  1. Are mono and colour allowances separate?
  2. Do unused pages roll over?
  3. Who reads the meter, and do you get a photo or a report?
  4. Can you set print limits per department or per user?

How ASG does it: ASG rentals start at Rp 350,000 a month for a mono printer and Rp 395,000 for a multifunction copier, with 1,000 pages included and Rp 100 per extra page, excluding VAT (terms apply). Unused pages roll over within mono or within colour, and usage limits can be set. [CEK ASG: how meters are read for machines that aren't online, e.g. hotels.] See printer rental prices.

New or refurbished: how can I tell?

Refurbished machines are fine if the provider says so and prices them accordingly. The problem is when condition isn't mentioned at all. Ask for it in the quote and the contract, then check at installation.

On installation day:

  • Write the serial number on the handover document.
  • Print the status or counter page. A new machine shows a very low page count, just factory and installation tests.
  • Keep that printout with your contract. It's also the starting point for your page allowance.

How ASG does it: ASG supplies new machines on its standard 1-year rental contract. [CEK ASG: is there a signed installation/handover form with serial number and starting meter?]

Can a Bali printer rental company issue a faktur pajak to a PT PMA?

Yes, as long as the provider is a registered VAT-collecting business (PKP) and your PT PMA has an NPWP. Ask for the faktur pajak to be issued in your company's exact legal name every month, and check it before your accountant files.

Quick checks you can do in 15 minutes:

What Where What to match
The provider is a real PT AHU Online, company (Perseroan) search Legal name matches the contract exactly
Business licence (NIB) OSS NIB search, or scan the QR on their NIB Active NIB; office equipment rental falls under KBLI 77394
Faktur pajak is genuine Scan the QR code on the faktur The tax office validation page shows the same seller, buyer, and VAT amount

Tax basics worth knowing:

  • Rental prices in Bali are usually quoted before VAT. Since 2025, VAT on non-luxury services is 12% on a base of 11/12, so the effective rate stays at 11% (DJP, PMK 131/2024).
  • If your company withholds PPh 23, equipment rental is subject to 2% withholding on the pre-VAT amount.

How ASG does it: ASG (PT Aneka Sarana Grafika) attaches the faktur pajak to every monthly invoice, including for PT PMA companies with an NPWP. If you withhold PPh 23, our finance team processes the withholding slip.

What should a PT PMA check in the contract?

Read four parts carefully: the term, price changes, automatic renewal, and the cost of leaving early. That's where most office equipment disputes start, in Indonesia and elsewhere.

Don't count on a court rewriting a bad clause later: under Article 1338 of Indonesia's Civil Code, a signed contract binds both sides like law. Whatever is in writing is what you get.

What to look for:

  • Price: fixed for the term, or can it rise? By how much, and with how much notice?
  • Auto-renewal: normal, as long as you know how many days before expiry you must give notice.
  • Early exit: what it costs, and whether you can leave without penalty if service promises are repeatedly missed.
  • Return: who pays for collection, and how fair wear and tear is treated.
  • Data: multifunction machines store scans and print jobs on a disk. Ask what happens to it when the machine leaves.
  • Language: Indonesia's language law (Law 24/2009, Article 31) requires Indonesian in agreements involving an Indonesian party, which includes your PT PMA, with an English version alongside. Ask for a bilingual contract so your team can read exactly what they're signing.

How ASG does it: ASG prices are fixed for the contract term. Contracts renew automatically, so service doesn't stop when the term ends. [TANYA TIMOTHY: notice period to stop auto-renewal.] [CEK ASG: early termination cost; the site currently shows a placeholder of 3 months' rent.] There's no deposit, and the first invoice comes after one month of use. Data on our machines is encrypted, and you can ask to keep the disk when a machine is returned, paying for a replacement disk. Our quotes are in English by default. [CEK ASG: are invoices and contracts available in English or bilingual? (doc question 80/86)]

Will it work with our Macs and Microsoft 365?

Ask two things: does every machine support AirPrint (so Macs and iPhones print without driver hunting), and does scan to email work with modern login for Microsoft 365 or Google Workspace. Many printers send scans through SMTP with a simple username and password, and Microsoft is phasing that out.

Microsoft has moved the retirement date for basic SMTP authentication in Exchange Online more than once, so check the current status with your IT person (Message Center MC786329). The safe question for any provider is: "Does this model support OAuth 2.0 for scan to email, and if not, what's your workaround?" [CEK ASG / ERISTO: which models in the ASG catalog support OAuth 2.0 scan to Microsoft 365 and Gmail, and what ASG sets up for the rest.]

How ASG does it: every machine in the ASG catalog supports AirPrint for Mac, iPhone, and iPad. Our technicians test printing and scanning from your team's computers at installation, and settings problems like scan to email failing can often be fixed on a WhatsApp video call. See office printer rental.

How do I check an authorised Kyocera dealer in Indonesia?

An authorised dealer can show a current appointment letter from the brand's Indonesian distributor, naming the dealer company, the brand, a letter number, and a validity period. For Kyocera, the distributor in Indonesia is PT Komindo Bizolusi.

  1. Ask for a copy of the appointment letter.
  2. Match the company name on the letter with the PT on your contract and in AHU.
  3. Check it hasn't expired.
  4. If in doubt, ask the distributor directly. [TANYA TIMOTHY: official Komindo channel buyers can use to verify a dealer.]

Genuine Kyocera toner in some markets carries a security hologram to tell it apart from counterfeits (Kyocera Document Solutions Europe). [CEK ASG: same marking in Indonesia?]

How ASG does it: ASG is an Authorized Master Dealer Kyocera, appointed by PT Komindo Bizolusi under letter No. 005/MI/I/2026, valid until 31 December 2027. You can see it on our certificates and partners page, or ask us on WhatsApp for a copy. For Epson and HP, ASG is a rental and service partner.

What are the red flags?

A red flag doesn't automatically mean a bad provider. It means you should ask more questions and get the answers in writing.

  1. Machine condition (new or refurbished) isn't stated.
  2. "Service included", but parts like drums and fusers are billed separately.
  3. Response time is verbal only.
  4. Early-termination cost is vague or missing.
  5. Page allowance or per-click price is unclear, or nobody explains how the meter is read.
  6. No local technicians; everything comes from another island.
  7. The price can change during the contract at the provider's discretion.
  8. No faktur pajak, or the PT on the invoice differs from the one on the contract.
  9. You only see the contract after paying or after installation.

What does a sensible rental process look like?

Seven steps, each leaving a document you can keep. If a promise is ever broken, you'll have it in writing.

p6-alur-pengadaan
Chart label still in Indonesian, English version coming.
  1. Write down what you need: pages per month (read the counter on your current machine), paper sizes, colour, scanning, where it'll sit.
  2. Ask 2 or 3 providers the same questions (template below). Get written quotes.
  3. Site survey: a good provider looks at the spot, power, and network before recommending a machine.
  4. Trial: ask whether you can test the machine in your office. Get the draft contract now.
  5. Sign: check the four contract sections above.
  6. Installation: record serial number and starting meter; test from every computer.
  7. Service and review: keep the monthly maintenance records; re-score the provider three months before renewal.

How ASG does it: ASG offers a free 3-day trial after our sales team has surveyed your site, and you get the draft contract during the trial. [CEK ASG: does the trial apply in Labuan Bajo and for A3 machines?]

What should I email providers before asking for a quote?

Send every provider the same questions so you can compare answers line by line.

Hi, we're [company], a PT PMA in [area]. We need a monthly [printer / multifunction copier] rental for roughly [number] pages a month. Our team uses Macs and [Microsoft 365 / Google Workspace]. Please send a written quote covering: 1. Model, and whether it's new or refurbished. 2. Monthly fee, page allowance, and price per extra page (mono and colour). 3. What's included: toner, parts, labour, maintenance, call-out fees. 4. Your written technician response time: when the clock starts, hours covered, and the remedy if you're late. 5. When we'd get a replacement machine. 6. Where your nearest office and parts stock are. 7. Contract length, price changes, renewal, and early-exit cost. 8. Faktur pajak in our company name (NPWP attached), and whether the contract can be bilingual. 9. AirPrint and scan to email with OAuth 2.0. 10. Whether we can trial the machine before signing.

Who is ASG's service best suited to?

  • Offices and PT PMAs that want a fixed monthly cost, a tax invoice every month, and quotes in English.
  • Schools and clinics that need a reliable machine during exam season or clinic hours.
  • Events and short projects through short-term rental.
  • Owners of their own machines who want them serviced on a schedule through a service contract.
